This policy covers visits to the website, discovery call inquiries and their follow-up. Processing performed as part of a client project is addressed in terms specific to that project.
2. Information collected
Avoid including sensitive information, trade secrets or personal information about clients and employees in the free-text field. A general example of your process is enough.
- Form: full name, email, company and a description of the challenge you want to discuss. A phone number is optional.
- Correspondence and booking: details you provide in emails and when choosing a Google Calendar appointment.
- Operation: form language, submission date and a technical reference linked to the sending status.
- Hosting and security: technical data such as IP addresses, access dates and requests may be processed by hosting services.
3. Why we use it
We use your information to understand your inquiry, prepare the call, respond and organize follow-up for the project you present. Technical data supports operation, security and duplicate prevention.
Management handles inquiries. Submitting the form does not subscribe you to a newsletter or promotional campaign.
4. Your choices before submitting
You choose to share the information needed to handle your inquiry. You may leave the phone field empty. If you prefer not to use the form, you can email us; information shared in that correspondence will be used to respond.
Before submission, the form explains the collection purpose and links to this policy. You may withdraw consent to processing based on that consent by contacting us. We will explain the consequences for the follow-up you requested and any retention obligations.
5. Retention and deletion
For prospect inquiries that do not proceed, the adopted retention period is six months after the last exchange. Management reviews related emails and appointments monthly to manage deletion. Records that become client files are treated separately.
A legal obligation, dispute or another applicable justification may require some information to be retained longer. Access and use remain limited to that justification.
The script keeps only the reference, date and sending status to limit duplicates. References older than 24 hours are deleted during a later processing operation. This does not delete emails or appointments. Provider logs and technical copies follow the settings and rules applicable to their services.
6. Protecting information
The form uses HTTPS. Requests to the Google script are protected by a server-held secret, and input is validated before transmission. Information is not stored in a website prospect database.
Management controls email and calendar access, limits authorized access and reviews privacy concerns reported to it.
8. Governance and complaints
Management is responsible for access, retention and deletion rules, and for handling personal information requests. Authorized people use information for tasks related to your inquiry.
To report a concern or make a complaint, email contact@orkivex.com with the facts and information needed for review. Management acknowledges receipt, reviews the situation and informs you of the outcome. Proportionate identity verification may be needed before information is disclosed.
Management reviews incidents to limit their consequences, record the facts and make required notifications when the legal conditions are met.
9. Access, correction and other requests
Contact contact@orkivex.com to request access, correction or updating, deletion when the conditions allow, or disclosure in a structured format when the right to data portability applies.
Access and correction requests are handled diligently and within the applicable legal period of 30 days from receipt. If a request is refused or limited, we explain the reasons and applicable recourse.
You may also contact the Commission d’accès à l’information du Québec under the remedies provided by law.
10. Policy updates
The dates on this page identify the applicable version. Significant changes to practices will be explained and, where required, renewed consent will be sought before the new processing.
